Events (Find/RSVP Process)

NAVIGATING HFC-VIP ON BAND APP

  1. Please be sure you are actually in the HFC-VIP “band” and not just your personal feed. When you login to the Band App, you will “land” at your personal feed. This is much like Facebook….you login Facebook and see summary of friends and groups you follow/belong to, but to see details you have to actually click thru to the friends’ profile or the group’s feed. The same is true with Band App. You login to Band and are at your personal feed (even if you only have one group you follow) but need to click HFC-VIP group to enter the group feed.
  2. Once you enter the HFC-VIP group feed you “land” at the group’s feed of posts (labeled “Post” in menu on browser). You can scroll thru these posts for updates, or you can click the hashtags at the top of the feed to see the specific category of updates you want to see: HFC updates, shared information, etc.
  3. If on device you have menu icons for “Chat”, “Photos”, “Calendar”, “Documents”, “Members” or “Settings”
  4. If on browser (computer or device browser rather than downloaded App) you have menu options for “Posts”, “Albums”, “Events”, “Attachments”, “Members” which translates to Posts, Photos, Events/Calendar, Documents, Members.
    • Posts/Group Feed: Used for commenting on previous posts, sharing information, etc. Be sure to tag @HFC Admin or other members as appropriate.
    • Albums/Photos: Used for uploading and sharing photos from various events with other members
    • Calendar/Events: Your primary target for event information
    • Attachments/Documents: Access to previously loaded event study guides, flyers and other information shared with the group
    • Members: Member Directory allows you find other members for messaging etc.
    • Settings: Pop Up gives access to Band Settings where you can edit your specific settings related to HFC-VIP as well as “My Settings” where you can adjust notifications, change profile information etc. PLEASE DO NOT TURN OFF NOTIFICATIONS!! All you need to do is adjust these settings. By default, Band sets notifications for new members. If you are not receiving notifications or if you are receiving too many notiications, this is the place to make the adjustments! You don’t need notification of every activity in our group and definitely don’t need it on your device AND email. Simply make the changes as appropriate for you and your family. If you have questions, be sure to ask me.

NAVIGATING HFC WEBSITE

  1. When you login, you land at the HFC-VIP resources page as long as your membership is current. To login you simply, click on “Member Login” in the header menu.
  2. Without logging in, there is very limited information available. Nothing is accessible except those under Member Login.
  3. As an HFC member logged in, the HFC-VIP resource page provides button click access to the Band App, the HFC Event List, your My HFC RSVP Account page, link to HFC Facebook group, Virtual Fieldtrips, Getting Started with HFC Tutorial and Info pages and more.

NAVIGATING HFC ON FACEBOOK

  1. We do not utilize Facebook in general, but many of our members are active on Facebook and monitor our Facebook group. It is also how a number of our new members find us.
  2. If you have not joined our group, you are welcome to do so. If you post something on Facebook, please ALWAYS tag us or we will never see your question.
  3. We do not use Facebook Messenger EVER so please do not rely on it!!
  4. We do share information shared by venues and their homeschool and family friendly events.

HOW TO FIND EVENTS

You have the above described options to access HFC member events and information. However, ALL options for access will result in landing at the same point for making your rsvp. The difference is simply how you get to the event detail page for each event:

  1. HFC-VIP Band App: Login, click HFC-VIP, click on calendar icon on device or “events” in menu tab on browser. You can scroll the list of events by month. Scroll the list and click any individual event to access the event detail page on Band App
  2. HFC Website: Click the HFC Events option in the menu. Scroll the list and click the event to transfer to the event detail page on the Band App.
  3. HFC on Facebook: Some events MAY be shown on Facebook, but will link back to the event detail page on the Band App.

EVENT DETAIL PAGE ON HFC-VIP BAND APP

  • Every HFC organized event includes details along with how to pay for events. If additional space is needed for information, there will be attachments directly under the detail section.
  • You can click “Join”, “Maybe” or “Decline” but these options DO NOT rsvp you for the event! Clicking on these events makes sure you receive notifications of updates (if you have notifications set appropriately).
  • You can add a reminder to remind you about the event
  • You can save the event to your Apple or Google Calendar (this is a great way to know what events you have reserved to attend….create a calendar for HFC Event RSVPs and save the event to that calendar)
  • You will see picture of event and directly underneath the picture will be attachments (if any)
  • You will see map of location
  • Comments Section:
    • The first comment on events is Admin post of “Who’s Attending” and “Pending Payment”. This is also where Waitlist information will be added.
    • If the event has assigned seats and those seats are held (i.e. Fox Theatre shows) the seat inventory on hold will be included in a comment as well. As seats are reserved, they are removed from the available list to the “Who’s Attending/Pending Payment” post
  • To enter your rsvp, simply comment in this section with number of adults and number of students with ages attending (or add names indicating adult or student age with the name). Admin will add your rsvp to the “Pending Payment” with amount due until payment is received. Once payment is received, Admin will move your rsvp to the “Who’s Attending” section based on availability at the time of payment. No rsvps are guaranteed without payment. If event is full, Admin will add your rsvp to the “Waitlist” section.
  • Send payment using payment options (options shown in all event details, website menu option, and in this document in addition to listed on the My HFC RSVP Account page)
  • Watch for Meeting Instructions added to the event detail page 1-2 days prior to event, but updates can be added at any time received by venues.
  • Admin is required to provide information breakdowns for some venues based on ages attending and other demographic information. For some tours, security clearance will require additional information)

MY HFC RSVP ACCOUNT

Access this page on the HFC website by clicking the link for My HFC RSVP Account on the HFC-VIP members’ resource page when logged in. This page provides a listing of all events you have reserved to attend as well as the payment status of each one. There are also links on this page for PayPal, Venmo and credit card payment links.
